As our (Senior) Office Manager, you are the face of the company to our visitors, clients, and vendors. You will play an instrumental role in ensuring Newzoo’s office is a welcome, comfortable, and inclusive office environment for all employees and visitors. You will be the driving force behind a smooth operation of our office and an impeccable working experience for our employees. You will report to the HR Director and work closely with senior management.  

 

Your Responsibilities 

  • Provide administrative support and manage the day-to-day operations of the office.
  • Ensure a safe and clean work environment. This includes managing cleaning services and coordinating maintenance requests
  • Manage all vendor relationship activities that are related to the office
  • Organize and coordinate all incoming mail and packages upon arrival
  • Provide necessary support to the HR department:
    • Support with onboarding that relates to the office and office protocol
    • support with the offboarding process.
  • Own the planning and organization of all company events and offsites, which include larger meetings and trainings.
  • Arrange all travel bookings (flights, hotels, taxis, hotels) for our employees in a timely and cost-effective manner.
  • Manage office stock control and office organization and manage office budgets for supplies, equipment, and other expenses.
  • Provide PA support to the Newzoo Management team where needed.

 

Facility Management:

  • Familiarize yourself with the Health & Safety requirements we need to adhere to and take ownership in ensuring we are up to standard.
  • Act as the point of contact with the landlord/handy man to ensure the office is always fully function
  • Act as the Prevention employee within the Newzoo office and ensure we are compliant with the Arbo regulations.
  • Help with ad hoc projects that arise.

 

Your profile

  • At least 4 years experience in office management, office administration, or a related field
  • Proficiency in core office administrative tasks such scheduling, budgeting, travel management, and vendor management
  • Adept at using a variety of office software programs like email, word, and excel
  • A master of organization, with the ability to prioritize tasks, manage time effectively, and keep a system for everything.
  • Excellent written and verbal communication skills (Dutch and English) and the ability to interact with staff at all levels, as well as vendors.
  • Proven problem-solver with the ability to proactively identify issues, analyze situations, and find solutions.
  • A strong sense of collaboration, being able to foster a supportive and positive work environment and being willing to help whenever possible.
  • The ability to handle sensitive information with care and professionalism.
  • A proactive approach to work, with a willingness to learn new things and adapt to changing priorities.
